Why POGO SEND

Four things SENCOs and trusts get on day one.

Save SENCO time

Instant reports replace hours of manual collation. Termly governor pack, LA return and Pupil Premium spend in one click.

Statutory compliance

Every EHC 20-week timeline, annual review, Reg 51 SEN Information Report and APDR cycle tracked.

Parent-friendly

Plain-language ILPs, banded Pupil Passport tiles, magic-link share, printable for meetings, copy targets to email.

Trust-wide

MAT dashboard with EHCP compliance heatmap, per-school comparison, identification vs deprivation scatter. No pupil records exposed at trust level.

For multi-academy trusts

Built for MATs from day one, not retrofitted from a single-school product.

POGO SEND treats the trust as a first-class tenant. Each school in the MAT runs the full SEND workflow for its SENCOs and class teams, while trust admins, MAT executives and governors get a board-ready aggregate view across every school - without ever seeing individual pupil records. One contract, one provisioning step, one place to land statutory compliance, inclusion equity, funding deployment and outcomes for the whole trust.

Block A · What MAT leadership sees

MAT Chief Executive / CEO

Strategic oversight

Trust-scoped · aggregate only

Strategic oversight of SEND across every school in the trust. Lands in the Trust Insights view with a "Schools needing attention" callout at the top so they know where to spend their next hour. Aggregate totals, per-school comparisons, board-ready exports. No pupil records anywhere.

  • Schools needing attention — automatic callout listing schools with statutory overdue EHCPs, more than one overdue review, a live SENDIST appeal, or a SENCO without NPQ-SENCO.
  • Funding deployment vs SEND cost — notional + top-up per EHCP vs actual spend per EHCP, with a variance column flagging GAG cross-subsidy.
  • Trust outcome trend — termly APDR closure and targets-met rate across all schools.
Trust SEND Lead / Director of Education

Cross-school operational ownership

Trust-scoped · aggregate only

Cross-school operational ownership. Spots outliers in identification, attendance, exclusion disproportionality and provision quality before they become risks. Uses the trust view to coach SENCOs, route resource and evidence the graduated approach across the MAT.

  • EHCP compliance heatmap — traffic-light cells for annual reviews on time, paperwork to LA on time, Section F provision in place.
  • Need profile by school — stacked bars showing share of register by primary area, with trust-average overlay. Surfaces schools absorbing disproportionate SEMH or Communication-and-Interaction caseload.
  • SENCO capacity and qualification — FTE, NPQ status (Held / In progress / Not started), caseload ratio, months in post.
Trust Board and Governors

Board-ready scrutiny

Trust-scoped · aggregate only

Receives the termly Governor Pack and trust aggregate views without ever opening a pupil record. Aligned to the NGA SEND Governance Monitoring Tool and the Whole School SEND Trust review framework, so trust scrutiny questions are answered before they are asked.

  • Inclusion equity — per-school SEND attendance gap (pp) and suspension rate ratio (SEND ÷ non-SEND), with national baselines.
  • Identification vs deprivation scatter — FSM-Ever6 % against register %. Flags both under- and over-identification across the trust.
  • 3-year trust trend — 6 terms of register % and EHCP % so trustees see direction of travel, not just a snapshot.

Block B · How the access model works

Trust-scoped users see aggregate data only. Always.

POGO SEND is role-aware from day one. School-scoped roles (SENCO, Headteacher, Class teacher, Teaching assistant) see pupil records for their assigned school. Trust-scoped roles (Trust admin, MAT executive, Governor) see whole-trust totals and per-school comparisons only - pupil records stay at school level. If a trust user navigates to a pupil-scoped page, a banner explains the access model and links them back to the Trust Insights view. There is no toggle to grant a trust user pupil-level access by accident.

School-scoped roles see

  • Every pupil's identity card, Passport and ILP
  • Provision map at session level
  • Observations and APDR cycles
  • Audit history with field-level diffs
  • Parent share links

Trust-scoped roles see

  • Inclusion equity (attendance gap, suspension ratio)
  • Funding deployment vs SEND cost
  • SENCO capacity table
  • Identification-vs-deprivation scatter
  • Trust outcome trend
  • 3-year sparkbars and trust-vs-national bars

  • Pupil names, UPNs, dates of birth
  • Individual ILPs or Passports
  • Observations against named pupils
  • Provision sessions per pupil

Block C · What deploying POGO SEND across a MAT looks like

  1. Add your schools

Trust admin lists every school in the trust with id, name, local authority and pupils on roll. Each new school flows straight through to the navbar school switcher, the per-school comparison in Insights and the trust-wide aggregations. Adding or removing a school takes seconds and never touches school-level data.

  2. Connect your MIS

Wonde live sync for the major MIS suppliers, CSV upload for anyone outside Wonde. Each school connects independently so trust roll-out does not depend on the slowest school's IT. Identity fields (UPN, DOB, year group) are read-only inside POGO and update through the next sync. There is a held-for-review queue when the sync detects an ambiguous change.

  3. Set trust-wide rules once

Trust-scope provision definitions (commissioned SaLT, county-wide outreach programmes) defined at the trust level appear in every school's library. Trust-wide timeline rules (annual review windows, statutory event types) and notification rules (who gets paged when an EHCP goes overdue) cascade from the trust down. Schools can extend with their own local definitions and rules without overriding the trust defaults.

  • Trust contract

    1 · 1 · 1

    1 contract · 1 implementation step per school · 1 board-ready dashboard.

  • Trust Insights sections

    12

    WSS, NGA, CST and Ofsted-aligned.

  • MIS roll-out

    Wonde + CSV

    Per-school sync independence. No big-bang roll-out.

Designed against the Whole School SEND MAT Review framework, the NGA SEND Governance Monitoring Tool, the CST trust accountability framework, the DfE Academy Trust Handbook 2025 and the Ofsted SEND framework 2025.

SMART targets in seconds, not hours.

A built-in target library of 30+ SMART targets across 18 named SEND needs (Dyslexia, Dyscalculia, Dysgraphia, Dyspraxia, MLD, Autism (ASC), SLCN, PDA, ADHD, ODD, Anxiety, EBSA, Depression, Attachment, Hearing impairment, Visual impairment, Physical disability, Sensory processing, Selective mutism). The picker pre-filters to the pupil's recorded needs by default. Each target carries success criteria and suggested strategies.

  • Target Bank picker — filter by named need, primary area, key stage or free-text. One click adds the target to the ILP draft.
  • Pupil and parent voice — Target Summaries, Pupil Contribution and Parent/Guardian Contribution boxes captured in the editor and surfaced on the parent print.
  • Share with parent — copy parent share link, copy targets as plain text for email, print or save as PDF, all from the same toolbar.
  • Targets-met progress block on the parent print: Achieved / On track / Concern / Just getting started, plus a positive-progress percentage bar.

Provisions

Every session for every pupil, colour-coded.

Per-pupil session strips that scroll horizontally - no uniform matrix forcing pupils into the same columns. Each provision has its own identity colour from the Provision Library, so "Reading 1:1" is the same colour wherever it appears.

  • Per-pupil session strips with wave (W1/W2/W3), group size (1:1, 1:3, 1:6), cadence (e.g. 3× × 30m, 90 min/wk) and deliverer avatar.
  • Provision Library with colour identity — each definition has a SENCO-chosen colour that follows the provision across the Map, ILP, Delivery and reports.
  • Cost is optional — externally commissioned services and Wave 1 quality-first provisions can be left uncosted. Missing values render as a dash, not £0.00.
  • Delivery workspace for TAs — Today / This week / Caseload tabs. Mark each session Delivered / Partial / Not delivered with a per-session comment.

Frequently asked

SENCO and CTO questions.

Does POGO SEND work alongside our MIS?
Yes. Wonde live sync for the major MIS suppliers, CSV upload for anyone outside Wonde. Identity fields (UPN, DOB, year group) are read-only inside POGO and update through the next sync.
Can a Trust admin see individual pupil records?
No. Trust-scoped roles see aggregate trust data and per-school totals only. If a trust user navigates to a pupil-scoped page, a banner explains the access model and links them back to the Trust Insights view.
Is the system audit and tribunal ready?
Every write produces an AuditEvent with the actor, timestamp, reason and field-level diff. The Audit History page presents this with date and entity-type filters. Built for SENDIST tribunals, complaint investigations and section 5 inspections.
Can we anonymise reports for LA submissions?
Yes. Every report endpoint accepts an Anonymise flag that strips pupil names, UPNs, dates of birth and photos before rendering.
How is the target bank maintained?
Curated SMART targets across 18 named SEND needs ship in the platform. Schools can add or edit targets in the Target Bank settings. The picker honours both built-in and school-added entries.
Can parents see the plan?
The ILP print/share view is designed for parents - plain language intro, "How my child is doing so far" progress block, copy share link, copy targets as text, print or save as PDF.
What is mandatory NPQ-SENCO?
From September 2024 the National Professional Qualification for SENCOs is the mandatory qualification for new SENCOs in England. The SENCO Capacity panel on the Trust Insights view tracks status (Held / In progress / Not started) across the MAT.
How does trust-wide deployment work?
Trust admin adds each school to the trust with id, name, LA and pupils on roll. Each school connects its MIS independently so roll-out does not depend on the slowest school's IT. Trust-scope provision definitions, timeline rules and notification rules cascade from the trust down. Schools can extend locally without overriding.
